Job Description

GENERAL SUMMARY

This role is full time and reports directly to the DDN India country manager. 

What will you be doing …

Responsibilities for this role include but are not limited to:

  • Day to day management of the DDN Pune office;
  • Disseminating information through telephone, websites, mail services, and e-mail;
  • Organizing and maintaining electronic and paper files and managing projects;
  • Maintaining and devising office systems, including filing, data management etc.;
  • Monitoring the use of equipment and supplies within the office;
  • Help local team with travel and accommodation;
  • Help with office and IT data centre related compliances
  • Assist with finding appropriate vendors and onboarding them with help of finance
  • Coordination with external government agencies, suppliers and logistics providers for infrastructure related purchasing and shipping.
  • Assistance to local management on appointments and administration;
  • Local event management including conferences, trainings for customers, partners & employees;
  • Work to foster an environment of team work and co-operation;
  • Provide support to finance and HR as required;
  • Assist finance in the management of local vendors;
  • Provide on the ground support to the support for the Corporate Infrastructure leader;
  • Ensures health and safety matters for DDN India;
  • Provide office administration support as required;
  • Additional duties that maybe assigned as required from time to time;

    • Experience of working autonomously and the ability to work on own initiative.
    • Proven ability to work to tight deadlines and handle multiple priorities simultaneously in a high volume, fast paced environment;
    • Ability to build up relationships with all levels of employees within the business.
    • Strong interpersonal, collaboration, and communications skills working in a complex and matrix business environment
    • Business driven and people focused with excellent communication, interpersonal, influencing, and team working skills.
    • Strong vendor management skills and experience
    • Any experience with stocking and shipping spare parts across India is a plus.
    • Business acumen with proven experience working with international business managers
    • Resilient
    • Fluency in English essential;
    • Excellent client service skills
    • Numerate with good attention to detail
    • Excellent literacy, with ability to write and proof read documents to an extremely high standard;
    • Proficiency in MS Office Products (Excel, Work; Outlook, PowerPoint);

    Education Required:                     

    • Ideally BS/BA degree in Business, Communications or related field required

    Experience

    • 5+ years of relevant work experience in a admin role as part of an international /matrix structured organisation.
    • Start-up experience preferred
